TO CREATE A MEETING:
- Login
- Under +CREATE select Schedule New Meeting
- Fill out the information. Meetings can be scheduled at any time, up to 120 minutes and include up to 9 participants.
- To add participants select a cohort or tag, check the users you wish to invite under Available Participants and move them to Selected Participants. If you are planning to review an observation video with a user you may only select that Observee to participate in the meeting and then select the observation from the dropdown menu.
- Click Save Meeting
- Go to Manage Meetings under the ADVANCElive menu on the left. You can edit your meeting by selecting the meeting title from the list of Upcoming Meetings. You can change facilitators.
TO FACILITATE A MEETING:
- Go to Manage Meetings in the ADVANCElive menu on the left.
- Under Upcoming Meetings find the meeting that you will facilitate. Click Enter.
- You can join a meeting up to 5 minutes before the meeting start time. Participants can join a meeting before the facilitator.
- As a facilitator you can: A. Record a meeting/Stop recording B. Turn off Video for all participants C. Turn off Audio for all participants D. End Session for all participants E. Mute/unmute my audio F. Turn on/off my video G. Screen Share (participants will also be able to screen share) H. Chat with everyone I. Chat with individual participants J. See all participants names under the people icon invited to meeting K. Pin the focus on a specific speaker
- Meetings will automatically end 5 minutes after the scheduled end time with a 5 minute warning.
TO REVIEW PAST MEETING INFORMATION:
- Go to Manage Meetings in the ADVANCElive menu on the left.
- Under Past Meetings find the meeting that you would like to review.
- You will be able to: A. See meeting details B. Download a CSV file of a single meeting or a summary of all meetings C. Playback video recordings of the meeting if recorded.
TO CREATE A TRAINING:
- Login
- Under +CREATE select Schedule New Training
- Fill out the information. Trainings can be scheduled at any time, up to 120 minutes and include up to 50 participants.
- Required Attendance Time is the minimum time in minutes required for the participant to receive credit for attending the training.
- To add participants select a cohort or tag, check the users you wish to invite under Available Participants and move them to Selected Participants.
- Click Save Training
- Go to Manage Trainings under the ADVANCElive menu on the left. You can edit your training by selecting the meeting title from the list of Upcoming Trainings.You can change facilitators.
TO FACILITATE A TRAINING:
- Go to Manage Trainings in the ADVANCElive menu on the left.
- Under Upcoming Trainings find the training that you will facilitate. Click Enter.
- You can join a training up to 5 minutes before the training start time. Participants can join a training after the facilitator has joined.
- As a facilitator you can: A. Record a training/Stop recording B. End Training (the facilitator will end training when they leave) C. Mute/unmute my audio D. Turn on/off my video E. Screen Share (participants will not be able to screen share) F. Chat with everyone G. See all participant names H. Mute Participant audio (Participants will be muted when they join the training).
- Up to 4 participants can speak at a time after they unmute their audio. Participants can raise their hand to speak which is shown in the chat window.
- Trainings will automatically end 5 minutes after the scheduled end time with a 5 minute warning.
TO REVIEW PAST TRAINING INFORMATION:
- Go to Manage Trainings in the ADVANCElive menu on the left.
- Under Past Trainings find the training that you would like to review.
- You will be able to see training details including: A. number of participants scheduled, number who logged in to training, number of participants who met the required time. B. Download a CSV file of a single training or a summary of all trainings C. Playback video recordings of the training if recorded.
TO REVIEW REPORTS
- Go to Manage Reports in the ADVANCElive menu on the left.
- Review participation information for each participant
- Download a CSV file for each participant or a summary of all participants.
